01Who we are and what this covers

Text2Book (“Text2Book”, “we”) runs a missed-call text-back service for home service businesses. This policy explains what we collect, why, and the choices you have.

We handle information in two roles:

  • For our own website and accounts, such as when you sign up or fill in our contact form, we decide how the information is used.
  • For the businesses that use Text2Book, we handle their callers' calls and texts on their behalf and only on their instructions. If you texted with a business through us, that business is responsible for your information, and we help it.

02What we collect

When you create an account

You sign in with Google, which shares your name, email address and profile photo with us. We record when your account was created and when you last signed in.

About your business

The details you give us to set up the service: business name, trade, your name and phone number, your business phone number and website, time zone, service area, services, business hours, after-hours and emergency rules, greeting style, calendar, plan and any notes. For carrier registration we also ask for your legal business name, EIN and address.

When you contact us

Your name, business name, email, phone number, trade, roughly how many calls you miss and your message.

About callers to businesses that use Text2Book

The caller's phone number, the time of the call, the texts they send and receive, and the details they choose to share, such as their name, address, the problem and a time that suits them. We also keep each booking's status and whether messages were delivered. We don't record calls or voicemails.

Automatically

Like most websites, our servers log basic technical details such as IP address, browser type and the pages requested, so we can keep the service secure and working.

03How we use it

  • to set up and run the service: texting callers, collecting job details and sending booking requests to the business;
  • to sign you in and show you your account and setup progress;
  • to register your business with phone carriers so your texts are delivered;
  • to reply when you contact us, and to send notices about your account, trial or billing;
  • to keep the service secure, fix problems and make it work better;
  • to meet legal and carrier requirements.

We don't sell personal information, and we don't use it for advertising.

04How AI is used

To reply to a caller, we send the conversation and the business's setup to an AI provider (OpenAI or Google), which writes the next message and pulls out details such as the address and preferred time. We use their paid business services, whose terms don't allow them to use this content to train their models.

The business sees every message the assistant sends, and nothing is booked without the business's approval.

05Who we share it with

We share information only with:

  • The business the caller contacted. It sees the conversation and booking details.
  • A few of our team members who need it to set up and support an account.
  • Service providers that help us run Text2Book. They may use the information only to provide their service to us:
ProviderWhat they do for usWhat they receive
TelnyxPhone numbers, call forwarding and text messagesCaller phone numbers, call times and message text
OpenAI and Google (Gemini)Writing the assistant's replies and pulling out job detailsMessage text and your business setup
Google FirebaseSigning in with GoogleYour name, email and profile photo
ResendEmail alerts and noticesEmail addresses and the alert's content
Our hosting and database providersRunning our servers and storing our databaseEverything on this page

We may also share information if the law requires it, to protect people's safety or our rights, or as part of a merger or sale of our business. In a sale, this policy would continue to apply.

06Text messages and mobile information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are excluded from all of the sharing described in this policy and will not be shared with any third parties.

Callers get texts only after calling a business that uses Text2Book. Reply STOP to any message to stop receiving texts. We honour it right away, and you can reply START to opt back in. Reply HELP for help. Message and data rates may apply.

07Cookies and browser storage

We don't use advertising or tracking cookies. When you sign in, Google Firebase stores your sign-in session in your browser, and we save a small note that you're signed in so pages load your account faster. Signing out removes both. Clearing your browser's site data does the same.

08How long we keep it

  • Accounts and business details: while your account is open, then deleted within 90 days of closing it.
  • Caller conversations and bookings: while the business uses Text2Book, then deleted within 90 days after it leaves, unless it asks us to delete them sooner.
  • Contact form messages: up to 24 months.
  • Opt-out records: kept for as long as needed to keep honouring them.
  • Server logs: usually 30 days.

We may keep some records longer where the law requires it, such as billing records.

09How we protect it

Information is encrypted in transit, access is limited to the people who need it, and sign-in is handled by Google. Messages from our phone carrier are checked to confirm they're genuine before we act on them. No system is perfectly secure, but if a breach affects your information, we'll tell you as the law requires.

10Your choices and rights

Business owners can ask us to see, correct, export or delete their information at any time by emailing hello@text2book.com. While your setup is in progress, you can also edit your business details in your account.

Callers can reply STOP to stop texts. To see or delete what you shared, contact the business you called, or email us and we'll pass the request to them and help.

Depending on where you live, such as California, you may have extra rights under state privacy laws, including the right to know what we hold and to ask us to delete it. We won't treat you differently for using them, and we'll reply within the time the law allows.

11Children

Text2Book is a service for businesses and isn't meant for children. Accounts are for people 18 and over, and we don't knowingly collect information from children under 13. If you think a child has given us information, email us and we'll delete it.

12Changes to this policy

We'll update this policy when our service or the law changes. The date at the top shows the latest version. If a change affects how we use your information, we'll email account holders before it applies.

  1. Estimate based on recovering calls you miss today. Example: a shop that misses 30% of its calls and books half of the callers it answers gets about 29% more booked jobs if a third of its missed callers book after a text-back. Results depend on your call volume and close rate.
  2. 411 Locals study of calls to small businesses.
  3. Lead Connect survey of consumer buying behaviour.
